Administrative Assistant Duties and Responsibilities
Serve as a contact person for all administrative jobs
Create and maintain filing systems, both electronic and physical
Ensure members’ directory and records are up to date
Manage schedule of different events and maintain church calendars
Follow-up on members telephone calls and route calls to the pastoral office and
other leadership members as needed
Carries out all facility rentals activities following facility management guidelines
and procedures
At the end of services and activities, closes all doors and windows of church
premises and arm security system
Checks for orderly placement of church properties (furniture, equipment, office
supplies, cleaning supplies, books, kitchen stuffs etc.)
Ensure all necessary supplies are always available and do other necessary
purchases for the church use
Inspects church premises for repair and cleaning needs
Supervise vendors as they perform repairs and services
Keep calendars of furnace filter changes, boiler water filling and grease oil
applications
Oversee all activities in the kitchen
Handle incoming and outgoing mail
Write recommendation letters for members based on the requests and as
needed
Provide recommendations to improve the management of the building and
related matters listed for the position as needed
Alert church leaders of potential security issues
Other duties as assigned and deem it to be necessary
